ABOUT THE ROLE

As an Interim Event Coordinator at Bissell, under the guidance of the Manager of Community Engagement, your primary responsibility is to coordinate and execute various community and fundraising events throughout the year. These events may range from program-specific gatherings for participants to third-party fundraisers and large-scale community/public events. Your role is crucial to the success of these events and supporting the organization’s mission

Duties and Responsibilities

Key Responsibilities:

Events

  • Event Planning: Take the lead in planning, organizing, and executing a diverse range of events, including fundraisers, awareness campaigns, and basic need call outs
  • Logistics: Coordinate all logistical aspects of events, including venue selection, event timelines, contingency plans, equipment and supply procurement, human resourcing, and stewardship.
  • Strategic Planning: Provide input in developing strategic plans and budgets. Collaborate with various teams to set fundraising, volunteer, and programmatic goals.
  • Marketing and Promotion: Help develop and implement event marketing plans to attract guests, sponsors, and community members.
  • Engagement: Collaborate with internal and external stakeholders, such as program managers, volunteers, sponsors, vendors, and community partners, to ensure their participation and support in events.
  • Event Execution: Oversee all aspects of event execution, including setup, registration, program flow, guest management, security, and cleanup. Handle on-site issues and troubleshoot problems that may arise during events.
  • Event Support: Help staff to plan and coordinate program-specific events by providing insight and general guidance.
  • Evaluation and Reporting: Conduct post-event evaluations to assess the event’s success, collect feedback from participants, sponsors, and volunteers, and identify areas for improvement. Prepare reports and share event outcomes with the management team.
  • Third Party Event Support: Promote opportunities and provide support to individuals and organizations interested in doing donation drives and fundraisers on Bissell’s behalf.

Fundraising

  • Fundraising Event Strategy: Understanding donor motivations and applying various tactics to increase event fundraising revenue

Professional Development

  • Understand and confidently speak about Bissell Centre, its history, practices, programs, and objectives

Resource Development Team

  • Represent Bissell Centre at internal and external events as required
  • Give agency tours and public presentations as needed

General and Administrative

  • Participate in team meetings, lead event kick-off meetings, and regular supervisions
  • Help foster a culture of philanthropy at Bissell Centre
  • Participate in safety walks around Bissell Centre’s downtown buildings

Qualifications & Commitment to Values

Education and Experience

  • Two years’ experience in the not-for-profit sector or event planning
  • Completion of post-secondary education or related experience in event planning is preferred

Knowledge:

  • Alignment with organization’s mission, values, and philosophies.
  • Experience with project management software is an asset.
  • Basic understanding of process development and improvement.
  • Basic database management skills are required.
  • Basic budgeting knowledge.

  • Ability to plan and communicate event activities effectively.

Working Conditions

  • Full-time (40 hrs/week)
  • Flexibility of the working day is inherent in the position. The workload fluctuates.[LB1] [MR2] Flexibility to work evenings, weekends, and the occasional Statutory Holiday is required
  • There is a work from home element to this role. Due to limited office space, when possible, the successful candidate will work from home.
  • Occasional travel and transportation of materials is required
  • Working in spaces that are close to or includes people who are experiencing complex life situations

SALARY

This is a full-time, contract position working 40 hours/week for 1 year.[LB3] [MR4] [CO5] Starting salary is from $49,063

The above listed training requirements must be completed within the first three months of employment. Other training requirements may be identified during employment and must be completed as directed.
