Currently, Bissell Centre is looking for an individual wanting to join our Resource Development team. Are you ready to be our Administrative Coordinator and make an impact in our community?

Duties and Responsibilities

Donor Relations Support:

  • Offer excellent customer service to everyone who comes to Bissell
  • Have a basic knowledge of all programs and services to respond to inquiries
  • Oversee 3 inboxes using Microsoft Outlook
  • Capture communications in our donor Raiser’s Edge database when appropriate
  • Process donations over the phone or in person
  • Forward correspondence to colleagues as needed
  • Ensure thank you letters and tax receipts are mailed and emailed in a timely manner
  • Participate in thank you call campaigns
  • Assist in sending cards to various stakeholders
  • Assist with Bequests

Raiser’s Edge Database Support:

  • Update donor contact information and communication preferences
  • Assist with resending receipts as needed

Volunteer Support:

  • Assist with volunteer screening
  • Update volunteer information including communication preferences
  • Assist with setting up volunteer opportunities in our volunteer database Better Impact
  • Coordinate practicum placements with post-secondary institutions and relevant Bissell program supervisors
  • Liaise with university practicum coordinators and schedule required meetings
  • Onboard practicum students by setting them up in Better Impact and collecting necessary documentation (e.g., police checks)
  • Project Management Support:
    • Effectively utilize project management software to manage and prioritize both immediate and long-term tasks
    • Schedule meetings, record minutes, and update project timelines and tasks in software based on meeting action items

Event Support:

  • Participate in planning meetings as assigned
  • Respond to basic inquiries about third party donation initiatives

Contract and Grant Support:

  • Create, maintain, and update workflows in our project management software and donor database to ensure efficient and clear project cycle
    • Maintain accurate file system, including digitizing and uploading paper documentation to virtual file storage system
  • Create and organize Teams channels for upcoming funding opportunities

General and Administrative:

  • Have knowledge of Bissell Strategic Framework
  • Have knowledge of Resource Development’s Strategic Frameworks
  • Maintain and Update Resource Development SharePoint pages
  • Maintain accurate file system, digitize and upload paper documentation to virtual file storage system
  • Check and distribute department mail, digitize and upload paper documentation as requested
  • Participate in cross-training to strengthen department as needed
  • Provide support with mailing, filing, typing, copying, and binding
  • Support Resource Development events and initiatives as assigned
  • Participate in cross-organizational initiatives, such as safety walks, events, and committees
  • Organize safety walks on behalf of the Resource Development Team
  • Translates colleague-led processes into clear, visual workflows using Lucidchart, ensuring procedures are well-documented and easy to follow.

Qualifications

Education and Experience

Minimum of 2 years in an administration coordinator or project administration capacity

Experience with office administration is preferred

Post secondary education in a related field and/or relevant experience

Experience with project management tools strongly preferred.

Familiarity with databases is an asset

  • Commitment to the mission and values of the organization
  • Familiarity with issues of poverty, houselessness and Edmonton’s urban core an asset.

 

Conditions of Work

Full-time position—40 hrs/week, willingness to work flexible hours on occasion, including evenings and weekends

Hybrid work environment – position works remotely and from office in downtown Edmonton.

Working within an office space where there are people experiencing complex life situations

Conflict Into Calm Training must be completed during the first year of employment. Other mandatory training may be identified as required.
