ABOUT THE ROLE
The Human Resources Assistant will be responsible for a wide variety of administrative duties which include supporting the Human Resources team. This role demands a high level of confidentiality and professionalism when interacting with employees, management, and the public.
WHAT IS THE ROLE
Duties and Responsibilities
Human Resources Administration
- Prepare offer letters, confirmation of employment letters, and orientation
- Assist with Human Resources communication, including updating
- Assist managers in various aspects of full cycle recruitment and selection including posting job advertisements, resume screening, pre-screen interviewing, scheduling of interviews, participating in interviews and candidate assessments and planning post-interview consults,
- Utilize social media tools to assist with recruitment / candidate sourcing.
- In absence of Training, Coordinator manage new hire administrative processes, employee orientation and training including assigning courses on Talent LMS, and booking core training (Orientation, Conflict to Calm and Naloxone Training)
- Lead birthday and anniversary recognition program, including card distribution and announcements in coordination with Peks Committee
- Act as Safety Representative and prepare Safety meeting
- Compile data, statistics, metrics, and other information as required for departmental KPI’s.
- Arrange employee exit interviews, and provide support with termination processes, including tracking reasons for employee
- Attending career fairs as
- Manage and maintain sensitive and confidential materials like employee relations, personnel matters, and organizational changes.
- Organize and protect the security of information, data, and
- Explain company personnel policies, benefits, and
- Answering basic Human Resources correspondence with employees and managers
- Provide support with Worker’s Compensation Board
- Organize, schedule, book and conduct the HR new employee
Administrative Duties
- Filing of correspondence
- Assist with contract and grant document
- Records and office supplies management
General Duties
- Participate in probationary and annual performance
- Attending scheduled staff and supervision
- Perform other duties as
- Supporting Director, People & Culture in strategic Human Resources projects
WHAT YOU BRING TO THE ROLE
Qualifications
Education and Experience
- College diploma or additional post-secondary education in HR related courses an asset
- Minimum 1-2 years’ experience working in an administrative role.
- Office administration certificate: equivalent combinations of education and experience will be
- Working towards CPHR Designation an asset
Knowledge, Skills, and Abilities
- Strong attention to detail
- Accurate and efficient data entry skills and working knowledge in operating office equipment e.g., printer, copier, and fax machine.
- Excellent proficiency with Microsoft Office Suite (PowerPoint, Word, Excel, Outlook (email) and Outlook Calendar), Internet navigation, databases, and general computer use
- Flexible, able to prioritize problem-solving, multi-task, and deal with difficult situations in a calm and confident manner
- Strong interpersonal, communication and customer service skills, with the ability to communicate in a professional manner with tact and diplomacy
- Demonstrated ability to maintain confidentiality
- Display professionalism at all times and adopt appropriate non-partisan stance with employees and management
- Familiarity with issues of poverty, community-based organizations, and the services they provide.
